How to Connect Odoo to a 3PL/Warehouse System

Connecting Odoo to a third-party logistics provider is a data contract: you send them clean despatch instructions, they send back shipment confirmations and stock truth. This guide covers the message flows, formats and the one discipline (reconciliation) that separates working 3PL setups from quietly drifting ones.

What it takes in practice

  • Step 1: Agree the interface. 3PLs offer APIs, EDI, or CSV-over-SFTP. All three work when built properly; get their spec document early because it drives everything else.
  • Step 2: Define the despatch trigger. Which Odoo state sends an order to the 3PL? Usually paid-and-allocated, never just placed. Getting the trigger right prevents shipping unpaid or cancelled orders.
  • Step 3: Map the outbound message. Order reference, SKUs (theirs vs yours mapped), quantities, address, service level, packing notes. Include what their spec requires and validate before sending; rejected files are silent order delays.
  • Step 4: Handle confirmations inbound. Ship confirmations with carrier and tracking close Odoo deliveries and trigger customer notifications. Partial shipments and substitutions need explicit handling rules.
  • Step 5: Inbound stock flows too. Goods-in (your POs arriving at the 3PL) and customer returns processed by them must update Odoo, or your stock diverges within days.
  • Step 6: Scheduled stock reconciliation. A regular full-stock snapshot from the 3PL compared against Odoo, with variance reporting. This step is skipped in most DIY setups and it’s the one that matters most.

When to do this yourself, and when to call us

The steps above are genuinely followable, and a capable team can get a basic sync running from them. What a guide can’t hand you is the part that fails quietly: a connector that survives Shopify and marketplace API version changes, the reconciliation instinct to catch numbers that are lying before a customer does, and someone accountable when a sync drops orders on your busiest day. Each is a location with its own interface and reconciliation. Odoo routes orders by rules (destination country, channel) and the reporting stays consolidated.
